Steps and tips to organize an event
1. Be organize and have passion for it.
2. Plan the what, where, when and how’s with the help of 1 or more of your class. Tip: It is better to have few in the group who are willing to help and jump in than have a big one that’s scattered and can’t accept delegation or question every task. In my case I’ve just been blessed with batch mates who also happen to be BFF’s and are always onboard to help out even if we are in different states.
3. Follow the guidance and suggestions of those who have done it before you, any pattern, traditions that have worked.
4. Have someone that’s good with technology (doesn’t have to be an expert but at least patient) who can assist with any electronic, social media, invitations, program of events, etc
5. Have someone in mind who can be the videographer or photographer.
6. Once determined the number of days which has been 3 days, starting with the meet and greet day 1, then day 2, education/election of new officers/meeting in the morning and main event/gala at night, last or 3rd day tour the attractions of the chosen state then picnic or farewell gathering. Alternative 1: Day 2 can be education/business matters in the morning, tour attractions after, rest then gala night. Alternative 2: Day 3 can be tour in the morning and farewell after. (Alternatives learned from previous attended gatherings, and option if Class want to hold their own bonding time, they can do that in leu of either the tour or farewell, what’s really important is be at the meeting/education and business matters and gala. The meet and greet is informal and can be held at host residence or small venue since people are still coming in from all over and the tours/farewell also optional because some prefer to rest (especially the young at heart) or be with their own class ( ija2x ajo2x in the dialect). But because this is a bi-annual reunion it is encouraged for everyone to participate in all of the activities to reconnect, reminisce and rejoice in one another.
7. Include in the planning for transportation especially for tours that require them.
8. There are templates from previous reunions for the Program, invitation that will be attached here for reference and feel free to revise, improvise and re-invent.
9. Lastly, but not least and most important, budget, budget and more budget, make sure you have permission to spend, allocate and have room for possible deficits or surplus, more the latter hopefully. Do not be ashamed to request refund for incurred expenses with time, travel and ‘tapal’ because most of the time this is voluntary or voluntold. Just make sure to keep receipts if and when required to present to the officers for auditing purposes.
10. And any hiccups more like unforeseen events like when we got hit by the pandemic, as long as we are alive and have the energy to continue, dust off and move on because the organization exists for a purpose, a reason, borne not just from the dreams of our late Dean Escobar but out of the deepest desire to love our neighbor and it goes without saying, to serve is part and parcel of that.
11. Before I forget, one can always chronicle the events either thru a newsletter or bulletin, or FB post using templates.
